Twofold Groups

Managing teams, billing, and shared access

Twofold Groups are designed for clinics and teams that want to use Twofold together with centralized billing, flexible seat management and a discounted rate.


What is a Twofold Group

A Twofold Group lets a clinic or organization manage Twofold accounts together — centralized billing, seat allocation, and admin controls across multiple clinicians. Each clinician keeps their own client list, notes, and settings.

With a Group, you can:

  • Invite multiple clinicians to your workspace

  • Manage billing centrally for the entire team

  • Control who can create notes using seat based access

  • Reassign licenses easily if providers change

Groups are designed to work for both small practices and larger organizations.


What's managed at the Group level vs what stays per-user

Groups handle team-level administration. They don't merge clinician data.

Managed at the Group level:

  • Billing and subscription

  • Seat allocation

  • Member list, invitations, and admin roles

Stays per-user:

  • Client lists (each clinician maintains their own)

  • Notes (each clinician sees only the notes they created)

  • Note settings

Per-user but shareable:

  • Templates — clinicians can share individual templates with a teammate using the share link in their template library. To roll out a template across the whole team, a Group admin can send it to support and we'll populate it for all members. Any later updates to a team-shared template also go through support.


Creating a Group

To create a Group:

  1. Go to Settings or navigate to https://app.trytwofold.com/invite-team

  2. Click Invite team members

  3. Set a Group name

  4. Invite team members using their email addresses.

Invited users receive an email invitation to join your Group.

Once created, you can view all members and pending invitations on the Group page.

You can view the status of all invitations (pending, accepted, rejected, or revoked) on the Group page. Invited users should check their spam folder if they don't receive the invitation email.

Trial vs paying behavior

Group trial

  • Every Group starts with a 7 day free trial

  • During the trial:

    • All invited users can create notes

    • There is no seat limit

After the trial

If the Group is not subscribed:

  • Users can still access the app

  • Existing notes remain available

  • New notes cannot be created

The Group can remain in this state until billing is activated.


Seats and access control

Groups use a seat based model.

  • You can invite unlimited users to your Group

  • Only users with an allocated seat can create new notes

  • Seats represent active licenses

Users without a seat:

  • Can sign in

  • Can view notes they previously created

  • Cannot create new notes

Admins control access by assigning and removing seats.


Billing and seat management

Activating billing

  • You will not be billed automatically when you invite members

  • Group plans use discounted per-seat pricing compared to individual plans. You can view group pricing once your group was created under Group settings -> Subscribe Group.
    Annual vs monthly pricing options are available, with a minimum of two seats required for any group subscription.

  • To activate billing:

    1. Go to Group settings

    2. Click Subscribe group

    3. Choose the number of seats

    4. Complete payment

Groups require a minimum of two seats to subscribe.


Assigning and reassigning seats

  • Seats can be assigned to any group member

  • To move a seat:

    • Un allocate license from one member

    • Allocate license to another member

This makes it easy to handle provider changes without disruption.

Adding seats

  • Admins can add seats at any time from Group settings

  • Added seats take effect immediately

Removing seats

  • Reducing seat count is handled by contacting support

  • This helps avoid accidental billing changes

Switching from a solo account to a Group

You can switch from a solo account to a Group at any time.

  • Create a Group and invite team members

  • Twofold will offer an upgrade to a Group plan

  • Billing is prorated based on your current subscription

  • All existing notes and data remain intact

Roles and permissions

  • The user who creates the Group is the Admin (can be reassigned)

  • All invited users join as Members

  • Admins can:

    • Manage billing

    • Invite or remove members

    • Assign or reassign seats

    • Promote members to Admin

Switching from a Group back to a solo plan

You can move from a Group back to a solo Personal plan at any time, and you won't lose your notes, clients, or templates.

Go to the group portal and select Leave Group. Once you've left, your account is solo again and you can subscribe to the Personal plan.

  • If you're the group creator or an admin and other members are still in the group, promote another member to Admin first, then leave.

  • If you're the only person in the group (including if you invited someone and then revoked the invite), you can leave directly.

  • On a free trial, you don't need to cancel anything. Leaving the group keeps you on the same account and the trial continues as solo.


Frequently asked questions

Can a Group exist without paying?

Yes. Groups can exist without an active subscription. In this state, users can access existing notes but cannot create new ones.

What happens when the trial ends?

If the Group is not subscribed after the trial:

  • Note creation is blocked

  • Existing notes remain accessible

  • Admins can activate billing at any time

What happens if I invite more people than I have seats?

New users will join without note creation access until a seat is assigned or additional seats are added.

Can a member leave a Group?

Yes. Members can leave the Group at any time and return to a solo account.

Can an Admin leave a Group?

An Admin cannot leave a Group if they are the last administrator and there is at least one member. Another member must be promoted to Admin before leaving.

Where can I see pricing details?

Current pricing and billing options are always available on the Plans page in Settings.

What happens when I join a Group without a seat?

You'll receive a welcome email explaining your access level. You can view all existing notes but cannot create new notes until the admin assigns you a seat. Contact your admin to request a seat allocation.

Can my teammates see my clients or notes?

No. Client lists and notes are scoped to each clinician's account, even within a Group. Group settings cover billing, seats, and member management — not patient data. If multiple clinicians need to document for the same client, each clinician adds that client to their own list.

Can I share templates with my team?

Yes. You can share individual templates with a teammate using the share link in your template library. To roll out a template across the entire team, a Group admin can send the template to support and we'll populate it for all members. Updates to a team-shared template are also handled through support.

Will my team member's existing caseload carry over when they join my Group?

Yes, as long as you invite them using the email address tied to their existing Twofold account. When they accept, their account becomes part of the Group and their clients and notes come with it. Nothing is lost, deleted, or reset. There's no need to re-add clients or copy notes over manually.
